Trade Show Preparation Checklist – 9 weeks


This series of articles is called “Trade Show Preparation Checklist” and helps you, week after week, to prepare the most important aspects of your booth setup and event organization. What should I prepare 9 weeks before my event?

You will have 9 weeks to get ready for your trade show. Let’s review what you should be doing 9 weeks before the event!

Staff training

If you have read “The trade Show Chronicles“, you already know everything about staff training! Otherwise, there are quite a few things you should be doing right now.

Planning manpower needs

Based on the size of your booth, the expected traffic and the number of people your trade show team already has, you may need to hire a few promoters or hostesses to complete your booth staff.

Before recruiting people you must identify your needs – establish how many people you will require and what type of qualifications they need. Prepare a tasks card to clearly explain what each recruit will be in charge of.

Recruiting staff

You shouldn’t do this yourself – hire a recruiting agency as it will save you a lot of time and you would probably get better quality candidates. Give them clear instructions about your budget and your requirements. Arrange that you can meet each candidate they select for you and the ones you keep should go through a two hours training with you.
Keep a few candidates you liked in a “replacement” list. You never know what could happen and some of the one who confirmed might cancel in last minute.

Training

Now that you have picked the best team, it is time to train them.
Spend some time teaching them about your products and features, customers needs and buyer personas. Educate them about lead qualification (you can read “How to qualify leads at trade shows“) and teach them how to capture leads efficiently.

If you manage to do all these within 3 weeks time, you can consider yourself very efficient!
